# Create an organization

> Make a new organization, choose a plan, pay for a paid one, and follow the setup through to your first project and test key.

# Create an organization

## What this is for

An **organization** is the top-level home for your work: it holds your projects, your team members and your billing. Everyone who signs up needs one before they can do anything else, and you can make more later (for a second company or client, for instance). The **Create a new organization** screen is where you name it, say what kind of organization it is, and pick a plan. Paid plans are paid for right on this screen. When you finish, the dashboard takes you straight on to creating your first project and showing you a test key.

## Before you start

* You need to be signed in. If you are not, you are sent to the sign-in page first and brought back. See [Sign in and sign up](https://docs.clinikapi.com/dashboard/account-access/sign-in-and-sign-up.md).
* If your account uses two-factor sign-in and you have not entered your code in this session, you are sent to the code screen first.
* For **Pro** or **Team**: a payment card and a billing address. Any person can create their own organization; you become its **owner**.
* You may have only **one Free organization** at a time. See "One Free organization per person" below.

## Step by step

**1. Open the screen**

New accounts arrive here automatically after sign-up. Otherwise open the organization menu in the top bar and choose **New organization**. The page is headed **Create a new organization**: "Organizations group your projects. Each one has its own team members and billing settings."

**2. Name it**

Type a **Name**: "What's the name of your company or team? You can change this later." It starts with a suggestion built from your email, and must be 2 to 60 characters.

**3. Check the URL name**

**URL name** is the short, lowercase version used in addresses. It follows the name as you type; edit it only if you want something different. Use 3 to 40 characters: lowercase letters, numbers and single hyphens. If the name you chose is already taken, the dashboard quietly tries the same name with `-2`, `-3` and so on up to `-5`. If none of those is free it says "That URL name is taken. Choose another."

**4. Say what kind of organization it is**

Open **Type**: **Personal**, **Startup**, **Health-tech company**, **Agency**, **Healthcare provider** or **Enterprise**. For anything except **Personal**, a **Company size** menu appears too: **1 person**, **2 - 10**, **11 - 50** or **51 or more**. It is required ("Choose your company size.").

**5. Choose a plan**

Open **Plan** and pick one: **Free - $0/month**, **Pro - $99/month** or \*\*Team - $399/month**. Select **Compare plans** to see what each includes. When you choose Pro or Team a **Billing period** switch appears: **Monthly** or **Yearly (Save 20%)**. Yearly shows the monthly equivalent ("Pro - $79/month, billed yearly"; Team is \$319).

**6. Pay (Pro and Team only)**

A **Payment** section opens: "Charged when you create the organization. Card details go straight to our payment provider; we never see them."

* **Card**: your card details.
* **Billing address**: the name and address on the card. The dashboard works out tax once the address is complete.
* **Tax ID type** and **Tax ID (optional)**: for a business tax number. The choices are **US EIN**, **EU VAT**, **UK VAT**, **Canada BN**, **Australia ABN** and **India GST**. Leave it blank if you do not have one.
* A **Charge breakdown**: the plan line (for example "Pro plan, billed monthly"), **Tax** and **Total today**. Until your address is complete, Tax reads "Calculated from your billing address" and the total shows as the plan price "+ tax". If tax cannot be worked out right away it reads "Added at checkout where it applies".

**7. Agree to the terms, if asked**

If you signed up in a way that did not already record your agreement (for example with Google), a box appears: **I agree to the Terms of Service and Privacy Policy.** Tick it to go on. If you agreed during email sign-up you will not see it.

**8. Select Create organization**

The button reads **Creating…** for a Free organization, or **Processing payment…** for a paid one. A paid purchase may open your bank's extra check (3-D Secure) in a pop-up; complete it there. Success shows "Organization created" (Free) or "Payment received. Organization created." (paid), and you move on to the first project.

## After you pay: "being activated"

Right after a paid purchase the plan can take a short while to be applied to your new organization. During that time the next screen reads **Payment received** with a spinner: "Your Pro plan is being activated. This page checks every few seconds and moves on by itself. If it takes more than a few minutes, contact support." You do not need to refresh. When the plan is applied the page carries on by itself to the project step.

## One Free organization per person

You can own only one Free organization at a time. If you already do, the **Free** option is greyed out with the note "You already have a free organization. Choose Pro or Team for another one, or upgrade the one you have from its Billing page." If you land on the page with both choices unavailable you see **You already have a free organization** with two buttons: **Open** followed by the organization's name (which opens its billing page) and **Back to** followed by its name.

A paid purchase that is still being activated blocks a second paid purchase for a moment: "A paid organization is already being set up for this account. It is ready as soon as its plan is activated, usually within a minute." The same card with the heading **Your paid organization is being set up** appears when you reach the page in that state.

## What happens next

Your new organization starts with an automatic project named **Default project**. The next screen, [Create a project](https://docs.clinikapi.com/dashboard/projects/create-a-project.md), renames it (or replaces it, if it is untouched) with the name and size you choose. After that:

**1. The setup screen**

A screen headed with your project's name shows **Setting up your project** and a short list: **Project created**, then **Creating your test key** (it becomes **Test key created**), then **Preparing the sandbox** (it becomes **Sandbox ready**, with the note "Your first request went through."). When it is done the line reads **Your project is ready.**

**2. Copy your test key**

A card titled **Your test API key** appears with the key and the **API URL**. It says "Copy it now. It is shown once and cannot be shown again; you can make more on the Access page." Select the copy button (**Copy test key**) and store the key somewhere safe. A test key works only against the sandbox, so it is safe to experiment with. Details: [Access: API keys](https://docs.clinikapi.com/dashboard/projects/access-keys.md).

**3. Open the project**

Select **Open project** to land on the project's **Overview**. Then follow [Your first 10 minutes](https://docs.clinikapi.com/dashboard/getting-started.md).

If the key could not be made, the step reads **Test key not created** with the reason, and **Sandbox ready on your first request** explains that the sandbox is prepared the first time a key is used. Create the key on the **Access** page instead. If you reopen the setup page later, the key step reads **A key already exists**, because keys are shown only once.

## Common questions

> **Which plan should I pick?**
>
> Free is a shared practice sandbox with test keys and invented data, with no cost. Pro and Team give you your own dedicated server and live keys for real data. Pro includes one project at the Small compute size; Team includes one at Medium with a failover standby. Compare them on the website, and you can change plan later from **Billing**: see [Billing](https://docs.clinikapi.com/dashboard/organizations/billing.md).

> **Can I change the name or URL name later?**
>
> The name, yes ("You can change this later"): see [Organization settings](https://docs.clinikapi.com/dashboard/organizations/organization-settings.md).

> **Do you store my card number?**
>
> No. The card box is provided by our payment provider and your card details go straight to them. The dashboard only receives a reference to the card.

> **What if my payment fails?**
>
> Nothing is created and you can try again with the same or a different card. The screen says "Could not confirm payment. Please try again or use a different card."

## Troubleshooting

| What you see | What to do |
| - | - |
| "Organization name is required." / "The name must be at least 2 characters." / "The name must be 60 characters or fewer." | Fix the **Name**. |
| "The URL name must be 3 to 40 characters: lowercase letters, numbers and single hyphens." | Edit **URL name**. |
| "Choose your company size." | Pick a **Company size** (not needed for **Personal**). |
| "Agree to the Terms of Service and Privacy Policy to continue." | Tick the terms box. |
| "That URL name is taken. Choose another." | Type a different **URL name**. |
| "Check your payment details." / "The payment form is still loading. Try again in a moment." | Fill in the **Card** fields; wait for the form to load. |
| "Complete your billing address." | Fill in every required line of **Billing address**. |
| "Could not confirm payment. Please try again or use a different card." | Try another card, or finish your bank's extra check. |
| "Your payment went through but we could not finish linking it to the organization. Please try again in a moment; you will not be charged twice." | Wait a moment and select **Create organization** again. |
| "Could not create the organization. Please try again." | Try again; contact support if it repeats. |
| "Your session has expired. Please sign in again." | Sign in and repeat. |
| "Card payments are not configured on this environment." | Card payments are switched off in the environment you are using; contact support. |
